Colleague

Overview 

Ellucian's Colleague, (aka Colleagueis MassArt's administrative and student information system. It is sometimes referred to as the Enterprise Resource Planning (ERP) system or application, or the Student Information System (SIS).

Colleague is used by students and faculty for registration, advising, attendance, and by students, to access their financial accounts and make tuition and fees payments to the College, and to manage other demographic information including addresses, gender identification preferences, including pronouns and chosen name.

Colleague is used for administrative purposes, by internal offices including the Registrar, Academic Resource Center, Business Office, Student Financial Assistance, and most other administrative and academic departments. The data in Colleague includes student records, financial and curricular information, and other data that is used in the course of administration and delivery of the curriculum.

Self-Service

Colleague's web-based client user interface is referred to as Self-ServiceSelf-Service provides a substantially improved user experience, renders properly on mobile devices, and provides features and functions, as its name implies, to allow users to perform transactions and access services on their own, without. Students and Faculty are automatically granted access to appropriate Self-Service interfaces. Staff may be able to access Self-Service depending on their job duties and responsibilities. 

UI7

UI7, also known as User Interface v 7, is a web-based user interface for administrators, who can use it to access data, run reports, perform transactions, and configure the product. This interface has significantly fewer users than Self-Service. Access to UI7, and features, functions and data in Colleague, is tightly controlled to ensure data privacy and information security.

Access

Access to any of Colleague's data or its interfaces, or any technology resource owned, leased or maintained by the College, is provisioned on the principle of least privilege, which is defined as follows:

The principle that a security architecture should be designed so that each entity is granted the minimum system resources and authorizations that the entity needs to perform its function.

Entity in the above can refer to a user operating or accessing a technology resource, or another application, sub-routine, query, etc. The importance of the principle of least privilege, also called "least privilege access," is to ensure that a user should only have access to what they absolutely need in order to perform their job duties and responsibilities, and no more. The more a given user has access to, the greater the negative impact if their account is compromised or if they become an insider threat.
