NetID Account Eligibility Policy

Purpose

This policy outlines the criteria for eligibility and provisioning NetIDs.

Summary

The MassArt NetID (aka Network Identifier) is a primary means for provisioning users with access to MassArt’s technology services and resources. The NetID is the first component of the set of user credentials used which effectively serves as the username. The second component of the set of user credentials is the password. An additional security measure is also required in addition to the password in the form of multi-factor authentication (MFA). Any user with full knowledge or access to all three components is able to access MassArt’s technology services and resources, and are often required to access endpoints (e.g., desktop and laptop computers), licensed software and services (e.g., Adobe Creative Cloud), collaboration tools (email, Google Drive, etc.), and enterprise systems (e.g., Colleague). NetIDs are therefore a primary means for authentication, authorization and access to these services and resources, including systems which contain confidential and sensitive data.

NetIDs are a primary means for authentication, authorization and access to digital services at MassArt, including systems which contain confidential and sensitive data, licensed software and services, email, etc.

Eligibility

The following table outlines the eligibility requirements and timeframes used for NetID provisioning, and de-provisioning. Once de-provisioned, a NetID is considered expired, and the user will lose the ability to login to MassArt technology services and resources.

The following are applicable for the provisioning of any NetID:

  1. Employees of any type–including full-time benefited staff and faculty, adjunct or part-time faculty, contractors, and temp workers–will not have a NetID provisioned until the hiring process is completed. The Technology department only receives official notification of employment authorization from the Human Resources (HR) department. There are no exceptions to this requirement.
  2. If the employee has met all HR requirements to work at the College, and HR authorizes employment, and notifies the Technology department, access will be provisioned within 2 business days of HR’s notification. For example, if the Technology department is notified on Friday at 4pm of a new hire, the user's NetID and account access should be in place by 4pm on the following Tuesday.

Notes

  • All hiring authorizations come from Human Resources, without exception.

  • Students who withdraw prior to completing degree requirements will have an active NetID for 90-days from the withdrawal date.

  • Expelled students NetIDs are deactivated immediately, once a duly authorized party notifies the Technology department of the expulsion.

  • Retired faculty who are designated Emerita may opt to retain their massart.edu account, but will not have access to other technology resources upon retirement.

  • Students will have a NetID as long as they are actively associated with a program. A student may be active even if they are not registered for classes (e.g., during the Summer or Winter intersessions, or if they are on leave). Contact the Registrar for details.
